ClubPulse ("we", "us", "our") provides an AI-powered chat assistant that golf clubs embed on their websites. This policy explains what data we collect, how we use it, and your rights under UK GDPR and the Data Protection Act 2018.

Who we are

ClubPulse is the data controller for information collected through our website and the data processor for information collected through chat widgets installed on our customers' (golf clubs') websites. You can contact us at hello@clubpulse.golf.

What we collect

When a visitor interacts with a ClubPulse chat widget, we may collect:

• Messages sent to the chat assistant
• Contact details voluntarily provided (name, email, phone) when requesting a callback or booking
• Technical data such as approximate location (derived from the club's postcode for weather) and session identifiers

We do not knowingly collect special category data, and we ask visitors not to share sensitive personal information through the chat.

How we use it

• To answer visitor questions and provide club information
• To pass genuine enquiries (leads) to the relevant golf club
• To improve the accuracy and performance of the assistant
• To produce anonymised, aggregated analytics for the club (e.g. most common questions)

Legal basis

We process chat data on the basis of legitimate interests (operating and improving the service) and, where you provide contact details for a callback, to take steps at your request prior to entering into a transaction with the golf club.

Who we share it with

We share data with:

• The golf club whose widget you interacted with (for genuine enquiries)
• Our AI provider (Anthropic) to generate responses
• Our infrastructure providers (Vercel, Supabase) to host the service

We never sell your personal data to third parties.

How long we keep it

Conversation logs are retained for up to 24 months to improve the service. Lead contact details are retained by the relevant golf club according to their own retention policy. You may request deletion at any time.

Your rights

Under UK GDPR you have the right to access, correct, delete, or restrict processing of your personal data, and to object to processing or request data portability. To exercise any of these rights, email hello@clubpulse.golf.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

Cookies

The ClubPulse widget uses a session identifier to maintain conversation context. It does not use advertising or tracking cookies.

Changes to this policy

We may update this policy from time to time. The "last updated" date at the top reflects the most recent revision.
